LeanFlow HQ ("LeanFlow," "we," "us") operates the website leanflowhq.com and the LeanFlow web application at app.leanflowhq.com. This policy describes what information we collect, how we use it, and the choices you have.

Information We Collect

Account information

When you create a LeanFlow account, we collect your name, email address, and organization name. Authentication is handled through Google OAuth; we do not store passwords.

Content you provide

Documents you upload (PDFs, Word files, spreadsheets, images) are processed to generate SOPs. Uploaded files and the SOPs you create are stored in your organization's workspace. We do not access or use your content for any purpose other than providing the service to you.

Usage data

We collect basic usage information such as pages visited, features used, browser type, and device type. This is used to maintain and improve the service. We do not use third-party analytics trackers on the marketing site.

Contact form submissions

When you submit the "Book a Call" form on our website, your name, email, company name, and preferred call time are sent to us via Web3Forms. Web3Forms processes this data solely to deliver the submission to our inbox. We use this information only to follow up on your request.

How We Use Your Information

We use the information we collect to operate and maintain the LeanFlow service, respond to your inquiries, send transactional emails related to your account, and improve the product. We do not sell, rent, or share your personal information with third parties for their marketing purposes.

AI Processing

LeanFlow uses Google's Gemini AI to parse uploaded documents into structured SOPs and to generate images. Your uploaded content is sent to Google's Gemini API during processing. We do not use your content to train AI models. Google's data handling for the Gemini API is governed by their API terms of service, which state that API inputs and outputs are not used to train their models.

Data Storage and Security

Your data is stored in Firebase (Google Cloud infrastructure) in the United States. We use encryption in transit (TLS) and Firebase's built-in security rules to restrict access to authorized users within your organization. While we take reasonable steps to protect your data, no system is completely secure, and we cannot guarantee absolute security.

Data Retention

We retain your account data and content for as long as your account is active. If you delete your account or request data deletion, we will remove your personal information and content within 30 days, except where we are required to retain it by law.

Your Rights

You can access, update, or delete your account information through the LeanFlow application settings. If you want us to delete all data associated with your account, email us at support@leanflowhq.com and we will process your request within 30 days.

If you are a California resident, you have the right to know what personal information we collect, request its deletion, and opt out of any sale of personal information (we do not sell personal information). If you are in the European Economic Area, you have rights under GDPR including access, rectification, erasure, and data portability. Contact us to exercise any of these rights.

Cookies

The LeanFlow marketing site (leanflowhq.com) does not set cookies. The LeanFlow application (app.leanflowhq.com) uses cookies and local storage strictly for authentication and session management. We do not use advertising or tracking cookies.

Children

LeanFlow is not directed at children under 13. We do not knowingly collect information from children under 13. If we learn that we have collected personal information from a child under 13, we will delete it.

Changes to This Policy

We may update this policy from time to time. If we make significant changes, we will notify you by email or by posting a notice on our website. The effective date at the top of this page indicates when the policy was last revised.
